How do I deal with inactive members?

Set a time limit, but a very flexible one—something like: if they don't connect—meaning they don't log in—within three months, then the account is permanently closed.

As much as this can sound like a good idea, it tends to have the opposite effect when used and can often lead to a bad reputation, or those members just not being interested in wanting to come back.

The way I look at it is that life can get crazy sometimes, and once active members can become inactive for a long period of time. They do not owe you an explanation, and sometimes when life gets crazy, they can forget about your community.

Simple emails, maybe even newsletter emails sent to all members, can reach out to inactive members who may end up coming back if they have the time to dedicate again.

You can try contacting them through email, private message, or @-tagging them on forum topics. Initiate a discussion with them and try to get them to be active.

If that doesn’t work, you can either:

(a) Leave them be and let them come back of their own accord or

(b) delete them from your forum because they’re just a vanity metric and also another process that has to be served from your hosting service.

Keeping them doesn’t really hurt anything, but deleting them may SLIGHTLY reduce resource consumption on your forum.

Owning a forum resources board, I don’t necessarily do anything with them. Their account either collects cyber dust, or they return as they please. I used to make it a priority to have an active forum, but I’m more concerned about fulfilling users' resource needs than having an active, thriving community.

Not sure if FS do it but on XF you can set email reminder to inactive members after xxx days.

But and it’s a risky one, email every member in new year (overriding email permission) and talk about successes of 2026 and future plans. Some members could have come in a sites infancy and don’t know how big it’s gone.

The bulk email settings come with these for FS.
